How to integrate AI recruiting tools with your ATS

A real integration does three things: reads the roles and candidates you already have, writes approved candidates back with the source attributed, and moves stages when something actually happens. Anything that only exports a CSV is not an integration, it is a second database you now have to reconcile.

Last tool we tried gave us a spreadsheet. The data never matched.

Then it never integrated. I read your req and your existing candidates, and write approved people back as prospects with the source and the evidence.

Stage changes happen when the event happens, so your reporting stays true.

One system of record, still yours

Five questions before you connect anything

Does it read, or only write?

A tool that cannot read your existing candidates will resurface people you already rejected. Re-reading your own database is half the value.

    Is source attribution preserved?

If everything lands as manually added, your source of hire reporting is dead within a quarter.

    Who owns the record?

The ATS should stay the system of record. Any tool that wants to become it is asking for a migration disguised as an integration.

    What triggers a stage change?

Stages should move on real events, not on a nightly sync guessing at intent.

Two systems both believing they own the candidate record is how teams end up doing evening data entry to keep reporting honest.

I avoid that by never claiming the record. Your ATS stays the source of truth, I do the work around it and write the outcome back where you already report from.

Connecting takes an afternoon, and the first shortlist comes back the same day.

    Taste, not another search box

Search is the easy half. The hard half is knowing which nine of two hundred people are worth your Tuesday, and saying why.

    I read potential, not keywords

Titles lie and stacks change. I look at what someone shipped, who they shipped it with, and how fast they grew into the work.

Every call comes with its evidence

You get the commit, the talk, the customer they carried, the line in the release notes. If I cannot show why, I do not claim it.

    The same rubric, every candidate

Your bar becomes a written rubric I apply the same way on Monday and on Friday, so a shortlist is comparable instead of moody.

    You can argue with me

Disagree with a score and I show the reasoning behind it, then carry your correction into the next batch.

The questions that usually come next

    Does Laidback replace our ATS?

No. Your ATS stays the system of record. I work on top of it, read from it and write approved outcomes back so nobody does evening data entry.

    Who sends the outreach?

Your team does. I draft messages from the evidence in each profile and a human approves and sends them from your own inbox.

Which channels do you work in?

Slack, Microsoft Teams and WhatsApp. The work is the same in all three, only the place you talk to me changes.

How long until the first shortlist?

The same day. Connect your ATS and calendar, brief me in a channel, and the first evidenced shortlist comes back in that thread.

See it on your own open role

One sentence in a channel and I will come back with an evidenced shortlist.
